Consignment Journey - IPVS Stages Explained
From 'Item Booked' to 'Item Delivered' - what each IPVS tracking stage means and why scans sometimes seem stuck.
India Post articles move through the IPVS (IPS-web) scan chain - in CSI offices these scans are made on the POS and IPVS modules. Each stage below is what the tracking portal is actually telling you.
-
1
Item Booked
The counter accepts the article and enters it in the booking system (the POS module in CSI offices). A consignment number is generated and the first scan appears.
Note: No tracking entry yet? Bookings at smaller offices can take a few hours to sync - check again later the same day.
-
2
Item Bagged
The article is sealed into a labelled mail bag at the booking office or the local mail office, along with other articles for the same destination.
Note: 'Item Bagged' means it left the counter queue and is inside a sealed bag - it has not physically departed yet.
-
3
Item Dispatched
The bag containing your article is handed to transport - a mail van, train or flight - toward the next node (an NSH sorting hub or the destination city's mail office).
Note: A long gap after this scan usually just means the bag is moving and has not been opened at the next hub yet.
-
4
Item Received / In Transit
A sorting hub (NSH) opens the bag, scans the article, re-bags it and sends it onward. You may see this scan repeat at each hub along the route.
Note: Repeated 'Item Received' scans at different hubs are normal on long routes (e.g. district SO to metro NSH).
-
5
Out for Delivery
The article reached the delivery post office, was scanned into the beat list and is with the postman on today's round.
Note: If delivery fails (locked house, addressee absent), it returns to the office and the status shows a delivery attempt note.
-
6
Item Delivered
The addressee (or an authorised person) received the article. For accountable articles the signature/e-POD is captured.
Note: Delivered but not received? Ask the delivery office for the proof-of-delivery record before raising a complaint.
Common questions
| Situation | What it usually means |
|---|---|
| "Item Bagged" for days | The bag is sealed but awaiting its transport slot - normal on routes with one daily dispatch or over weekends. |
| No scan after booking | Small offices batch-upload scans; give it a few hours. If still blank next day, ask the booking office to check the entry. |
| "Held" / "Redirected" notes | Address issues, addressee absent or the article was sent onward to another delivery office - contact the delivery PO with the number. |
Live scans themselves live on the official tracking portal - validate a number on our tracker page first.
